Annual Benefits Open Enrollment

Each year, Kentucky State University faculty and staff can choose and make changes to their benefits during the Annual Benefits Open Enrollment period. This year’s enrollment period is April 27, 2023, thru May 11, 2023. From medical and dental plans to life insurance, flexible spending accounts, and more, now is the time to review your benefits and select the options that fit you and your family best.

This year we are excited to announce we will have an in-person Benefits Fair scheduled for Thursday, April 27, 2023, in the Cooperative Extension Building Room 238 from 9:00 a.m. - 4:00 p.m.  For those who have limited access to a computer, we also encourage stop by for assistance from 9:00 a.m. - 4:00 p.m., ASB room 241 on:

  • Monday, May 1
  • Tuesday, May 2
  • Thursday, May 4

Our insurance broker will be on-site the date of the Benefits Fair and will be available for Q&A. She will also have presentations at the following items: 

  • 9 a.m.
  • 10 a.m.
  • LUNCH
  • 1 p.m.
  • 2 p.m.
  • 3 p.m.

Your current medical plan, flexible spending, dependent care, life-style spending account and health savings account elections will not automatically re-enroll for the plan year (July 1, 2023-June 30, 2024). Please note: If you do not elect a medical plan, you will be defaulted into NO coverage.  That said, please be sure to make your elections before the end of this year’s Open Enrollment cycle.

Benefit elections and changes cannot be made outside of Thursday, May 11, 2023, unless you experience a qualified life event such as a change in marital status, the birth or adoption of a child, or a change in your spouse’s work status. If you chose to continue employee-paid short-term disability and critical illness with Hartford Life Insurance, you must log in to www.workforcenow.com to make that selection.

HEALTH PLAN UPDATE

  • Medical claims have been unchanged for the past four years; however, this year, we experienced a high volume of claims. This has increased the plan rates for both the University and the employee. The University has worked to minimize the cost for employees as much as possible and will carry most of the plan rate increase.
  • Please remember all KSU health insurance plans are self-insured, which means all medical and Rx claims are paid by KSU and its participating employees. The projected cost of healthcare for the 2023 – 2024 plan year is approximately $3.1 million, an increase of 12% from last year.
  • You are encouraged to review the 2023 - 2024 KSU Employee Benefits Guide to see how the employee share increase impacts your plan preferences.

HELPFUL HINTS

  • Mark your calendar – Benefits Fair is Thursday, April 27, Cooperative Extension Building, Room 238, from 9 am-4 pm.
  • Open Enrollment is from Thursday, April 27, through Thursday, May 11, 2023.
  • To Sign up, know your ADP User ID and Password.
  • To go green and leverage technology, you will need to access your benefit summary online this year. workforcenow.adp.com navigate to “myself” > “benefits” to view your current benefit coverage or download the ADP mobile app to view your information.
  • Please review and if required, update your home and work address, phone, email, and emergency contact information. Log into workforcenow.adp.com and navigate to “myself” > “my information” > “profile” to verify your personal information.
  • Your current medical plan will NOT automatically re-enroll for the 2023-2024 plan year. You will be required to actively enroll, even if you do not plan to change your elections. Please be sure to make your elections before the end of this year’s open enrollment period. 
  • If you wish to participate in a Health Care or Dependent Day Care Flexible Spending Account (FSA), you must re-enroll every year. You may elect up to $3,050 for the Health Care FSA and $5,000 per household or $2,500 if married, filing separately.
  • If you are adding a dependent to your coverage, all supporting documentation must be submitted to the OHR by Friday, May 12, 2023. Please submit your supporting documentation via email at resources@kysu.edu  or fax at (502) 597-6450.
  • If you select supplemental life insurance that requires proof of good health – often referred to as evidence of insurability (EOI) – you must complete your EOI by Friday, May 12, 2023.
  • Approximately two weeks after Open Enrollment, you will receive a confirmation statement to your KSU email address. Confirm that your elections are correct on your confirmation statement.  If there are errors, notify the OHR resources@kysu.edu by Wednesday, May 31, 2023, so updates are incorporated in the payroll cycle, which begins on July 1, 2023.
